Dental labs across Europe are offloading their CAD workload — but the choice of where to outsource matters more than it first appears. EU-based versus offshore is not just a question of price; it affects turnaround, data compliance, communication, and ultimately quality consistency. Here’s what to evaluate.
Why European dental labs are outsourcing CAD
Three pressures keep coming up in conversations with lab owners:
- Designer recruitment is harder than ever. Skilled dental CAD technicians are in short supply across Germany, the Netherlands, France, Italy and the UK. Those who exist are often employed in-house by larger labs, and turnover is costly.
- Digital workflow volumes are growing faster than capacity. As IOS adoption accelerates, the number of cases requiring a designed file keeps increasing. In-house capacity, already stretched, can’t keep pace.
- exocad licence costs multiply quickly. Multiple seats for multiple designers, plus hardware, training and version updates — the overhead compounds.
EU-based vs offshore outsourcing
Offshore providers offer exocad design for €2–4/unit. The trade-offs are real and worth understanding:
- Turnaround latency. A studio operating in UTC+5:30 or UTC+8 may not start your morning cases until their working day begins — adding 8–12 hours of dead time. For 24-hour turnaround to mean 24 real hours, the studio needs to be in a compatible time zone.
- GDPR and data handling. Scan files may contain patient-identifiable information. Sending them to a processor outside the EU requires a Data Processing Agreement, an adequacy decision for the destination country, or Standard Contractual Clauses under GDPR Art. 46. Most offshore providers do not have these in place, putting the legal risk on your lab.
- Communication friction. Design quality requires clear communication — about margin geometry, occlusal schemes, material specifics. Language barriers and async communication across time zones create errors that erode any price advantage.
- Familiarity with European implant systems and materials. CE-marked materials, European implant libraries (Straumann, Dentsply, Camlog), and prosthetic conventions differ from North American and Asian markets. A designer who works primarily in those markets will produce designs calibrated to different standards.
On GDPR: At minimum, anonymise scan files before sending anywhere — remove patient names from filenames and any embedded metadata. Even with an EU-based partner, this is good practice. A reputable studio will confirm their data handling and provide an NDA or DPA on request.
What “EU-based” means for your workflow
When your studio operates within European business hours:
- Cases submitted in the morning are returned the same evening
- Revision rounds happen within the same working day
- Questions about a case are answered in real time, not 8 hours later
- Data processing is GDPR-compliant without additional legal structuring
Questions to ask any outsourcing partner before you start
- Do your designers work natively in exocad, or are they converting files from another CAD platform?
- Can you show me a demo case built for the indication I send most?
- What are your standard SLA commitments for turnaround, and what happens if they’re missed?
- How is patient data handled, and is an NDA or DPA available?
- Is pricing per unit, with no monthly minimum?
- Are revisions included unconditionally?
Red flags to avoid
- No clear data handling policy or refusal to sign an NDA
- Turnaround claims that don’t account for time zone differences
- Revision charges or caps on revision rounds
- Monthly minimum case commitments
- “exocad compatible” rather than “native exocad” — these are different things
